1. Information we may collect
We may collect your name, role, organisation, email address, telephone number, enquiry details, correspondence, engagement and billing information, and information you choose to provide during consulting or advisory work. Client engagements involving workforce, governance, compliance or leadership matters may involve additional personal information relevant to the agreed scope.
Please do not submit passwords, employee case files, health information, incident details, privileged material, unnecessary sensitive personal information or confidential records through the general website enquiry form.
2. How we collect information
We generally collect information directly from you when you contact us, submit an enquiry, correspond with us or participate in an engagement. We may also receive relevant information from a client organisation, authorised representative, referral source or service provider.
3. Why we use personal information
We may use personal information to respond to enquiries, assess whether Kylarity can assist, communicate with clients and prospective clients, scope and deliver agreed services, manage engagements and records, issue invoices, improve our services, meet legal or compliance obligations, and protect legitimate business interests. We do not sell personal information or customer lists.
4. Website enquiries and Netlify
The Kylarity website is hosted using Netlify and the enquiry form uses Netlify Forms. Information submitted through that form is processed and stored using Netlify's services and may also be delivered to Kylarity by email notification. Netlify is a United States-based provider and form information may be processed outside Australia, including in the United States.
5. Disclosure
We may disclose personal information where reasonably necessary to service providers supporting our operations, including website hosting, form processing, email, document storage, accounting or professional advisers; where authorised or required by law; or with your consent. Where Kylarity is engaged by an organisation, information may be reported to that organisation in accordance with the agreed scope, participant notices and confidentiality arrangements.
6. Security and retention
Kylarity takes reasonable steps appropriate to a professional-services business to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No internet transmission or storage system can be guaranteed completely secure. We retain information only for as long as reasonably required for its purpose, legitimate record-keeping, contractual requirements and applicable legal obligations.
7. Access and correction
You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before acting on a request.
8. Privacy enquiries and complaints
If you have a concern about how Kylarity has handled your personal information, contact us first. We will consider the issue and aim to respond within a reasonable period. If the Privacy Act applies to the relevant activity and you are not satisfied with our response, you may also have the right to contact the Office of the Australian Information Commissioner.
9. Overseas processing
Some technology providers may process or store information outside Australia. Netlify may process website form information in the United States. We will update this policy where our usual information-handling practices materially change.
10. Changes
We may update this policy when our services, technology, legal obligations or information-handling practices change. The current version will be published on this website.
